Job Purpose:
Accountable to the Facilities Manager, through initiative – taking management of the Facilities Team, Security Officers, Reception area and Support Services staff to ensure and provide a safe, secure, efficient and maintained environment for staff, visitors, and contractors within and out with the SPS Headquarters building. To assume the duties and responsibilities of the Facilities Manager in their absence.

Responsibilities:

To function as a secondary point of contact when consulting with the Landlords Management Team.

Function as a point of contact for the Agility CMMS helpdesk by logging in faults, requests and issues raised in relation to the SPS HQ building, the facilities and related services and contacting the appropriate external sources to rectify.

Co-operate with the Facilities Manager to develop a strategic plan for the management of the SPS HQ Building inclusive of detailed building planning improvements, key reviews, and resource requirements.

Ensure that a co-ordinated approach is taken with reference to all aspects of common service delivery, maintenance, environmental and Health & Safety issues that arise inclusive of overseeing the daily workload of the Facilities Assistant & Support Services staff ensuring that workload deadline completion dates are met and assist as required

Ensure that reprographics, incoming and outgoing mail and Support Services registry functions, operate in an efficient and effective manner ensuring that all resources are allocated appropriately between tasks, to ensure a stable and acceptable level of service delivery is achieved.

Monitor and update Security processes and procedures, as required, that are currently in place to always provide a safe and secure environment, including reviewing of emergency procedures for incidents and system failures which occur within and out with normal working office hours.

Qualifications Requirements

Minimum of five National 5 Qualifications, including English and Arithmetic/Mathematics or equivalent qualifications or relevant experience in a similar Facilities Management role.

Knowledge Skills Requirements

A good knowledge & understanding of a tenant / Landlord relationship and what is required from both parties.
IT Skills Proficient in the use of IT systems and software including packages such as SharePoint, Excel, Word and Outlook.
Finance and Procurement Knowledge Proven knowledge of finance and procurement policies and processes or willing to develop this knowledge in the workplace with full support from SPS.
Previous experience in Line Managing / Supervising a team or similar experience.
